How to Submit Health Savings Account Contributions

Instructions on the different methods for submitting HSA contributions for your employees.

🔐 Permissions needed: Make Contributions.

There are a few different ways to submit contributions:

Submit by Employee Listing

Submit contributions by employee listing through the employer portal by going to Manage Money > HSA Contributions:

  • Set your contribution amounts to the employee accounts as contribution defaults.

  • The next time you fund employees’ accounts, simply use your contribution defaults.

  • Defaults can be edited or cleared if you need to make changes.

  • You can change the employee listing to see current employees or expand to include inactive employees.

Submit by Contribution Upload

Submit contributions via file upload through the employer portal by going to Manage Money > HSA Contributions:

  • Upload a file that includes your employer and/or employee HSA contribution amounts.

  • An easy-to-use excel sheet template is provided (which you can access by selecting the Populated Template hyperlink).

  • The excel sheet will list your active employees as well as their contribution defaults, which you can edit if needed.

Submit by Prepaid Deposit

  • The free prepaid deposit (PPD) funding option allows you to run a report in your HealthEquity employer portal that shows routing and account numbers for each participating employee.

  • Simply give this information to your bank or payroll partner to make recurring employee payroll and/or employer HSA contributions.

  • Note: All contributions will be posted as “Employee” when this option is used.

Contact HealthEquity Employer Services by phone or email to set up this feature.

Submit by Integrated File Feed

An integrated file is also known as an “EDI file.”

  • An Electronic Data Integration (EDI) file feed automates the file process.

  • Additional fees may apply to initiate.

  • The EDI integration file is not uploaded in the Employer Portal but is transmitted via File Transfer Protocol (FTP), a secure way to transmit data.

This type of submission requires assistance from the Client Services Team for the initial setup. Once an integrated file feed is live in production, you will need to monitor all file submissions and generally ensure that the information being sent on the file is accurate and timely.

Contact the Client Service Team to submit contributions via integrated file feed with your Health Plan Partner.
