Completing a Reimbursement Account Renewal

Before you begin, disable your pop-up blocker then take the following steps:

  • In the Employer Portal, navigate to Employee Info > HRA/FSA Renewal.

  • Choose the plan you wish to renew from the Reimbursement Plan Renewal List.

    • The plans that are available to renew will show as HRA/HCRA/LPHCRA/DCRA.

  • Select the ‘Renew’ button for each plan being renewed.

  • Verify the information on the screen, including but not limited to plan documents, non-discrimination testing, payroll start date, and frequency.

  • Once verified, click the ‘Next’ button.

  • Select ‘Make Changes’ and fields will appear to enter changes or Select ‘Renew without changes’ if you do not wish to make any changes to your plans.

    • If the renewal reason is not listed, please use the 'Comments' section to add those details.

      • Example: "We want to change the amount of our rollover," or "we have switched to a different Health Plan Provider."

This process will need to be completed for each plan being renewed. Once complete, HealthEquity will be notified, and we will begin the renewal process.

We may reach out to you if additional information is needed, so please verify that the contact information in your employer portal is up to date.

If you Receive an Error During the Renewal

  • Go to Employee Info > HRA/FSA Renewal.

  • If the plan is still listed to renew, click Renew and try again.

  • If the plan isn’t listed, then the renewal was submitted successfully.

Do I Need to Renew My Reimbursement Account Plan with HealthEquity If I’ve Already Renewed It with My Health Plan Carrier?

Be sure to submit your renewal at least 60 days prior to the effective plan date.

Yes, you also need to complete the online renewal process with HealthEquity in your Employer Portal. Be sure to submit your renewal at least 60 days prior to the effective plan date.


What Do I Need to Consider Before Completing a Renewal?

  • Make sure all plan designs are finalized before submitting the online renewal. If plan changes are submitted after the online renewal is complete, amendment fees may apply.  

  • Remember, even if you have already renewed with your health plan carrier, you must also complete the online renewal process with HealthEquity, especially if you are renewing with changes. Note: When you enter your health plan provider, ensure that the state is included in the health plan name.    

  • Renew all your reimbursement plans at the same time. Note: Health Savings Accounts (HSA) do not require a renewal.    

  • If you are choosing not to renew your plan(s) with HealthEquity, you will need to log in and cancel your plan(s). 

  • FSA renewals will require accurate payroll dates.  

  • Once renewal is complete, a confirmation e-mail will be sent outlining the plan design. In some cases, we may require that you confirm the changes.


What are the Renewal Options?

Renewal with no changes: If you are renewing with no changes, please follow the instructions below and select ‘Renew without changes’ when prompted.

Renewal with changes: If you are making changes, we do require that you submit them at least 60 days prior to the effective date to have plan setup and cards available by the plan effective date. Select ‘Make Changes’ when prompted while submitted the renewal.


What are the 2024 Contribution Limits?

For 2024, the FSA annual salary reduction limits are set at $3,200, up almost 5% from $3,050 in 2023. Limits on other types of plans can be found in this article.


Can I Renew All Applicable Plans Simultaneously?

The renewal process will need to be completed for each plan being renewed with changes.


Do I Need to Renew My Health Savings Account (HSA)?

No, Health Savings Accounts do not require a renewal. However, please ensure all contributions are submitted before the end of the year.

Enrollments should be added or updated 2 weeks prior to your plan effective date.


What if I Need to Make Changes After I Renewed My Plan?

Once a plan is renewed or terminated, it cannot be edited without contacting the Client Services Team. Plans that have been completed will no longer appear on the renewal list in the employer portal.


How Long Does a Renewal Take?

Once your renewal is submitted, it will take approximately 30-45 days to be reviewed and processed. Be sure to look for emails from HealthEquity reminding you to submit your renewal and plan accordingly to allow ample time to set up the plan before the plan start date.


Can I See the Status of My Renewal?

Renewals with changes take longer than renewals without changes, but please allow 30 - 45 days from when you submit your renewal for processing. Be sure to respond to any emails from HealthEquity about your renewal to avoid delays.

If it has been over 45 days and you have not received an email from HealthEquity letting you know that your plans are renewed, and you want to see if your renewal is complete, reach out to the Client Services Team for a status update.

What Happens After I Submit the Plan for Renewal?

HealthEquity is notified and will begin the renewal process. A confirmation email will be sent to you after you have submitted your plan(s) for renewal. This email will outline the plan design. In some cases, we may require client confirmation of changes.

Please verify the contact information in the Employer Portal is current and accurate so we can contact you if additional information or confirmation is needed.


What Should I Do After I've Completed My Renewals?

Once you’ve completed all of your renewals you can begin adding enrollments.

  • If you add enrollments through the HealthEquity Employer Portal, you can use this enrollment guide for assistance if needed.

  • If you send enrollments through your Health Plan Partner, please provide enrollment information to them as soon as possible.


How are Prefunding Amounts Determined?

Your funding will be set the same as last year. If enrollment is significantly different from the previous year, please reach out to the Client Services Team.


When Do I Submit My Prefunding?

You will receive a prefunding invoice after your account has been renewed. To avoid a delay in claim payments, submit your prefunding payment as soon as invoiced, which is typically two weeks prior to your plan effective date.


What If I Want to Make Changes After the Plan Has Renewed?

To make changes to the plan after it is renewed, an amendment is required and fees may apply. Please contact the Client Services Team to discuss any renewal changes.


Does HealthEquity Offer Non-Discrimination Testing​?

HealthEquity offers non-discrimination testing (NDT) for groups with reimbursement account(s) as an optional add-on service (fees may apply). Annual testing for the employer group is required by the IRS to ensure that plans governed by Section 125, Section 129, and Section 105 do not discriminate in favor of highly compensated or key employees with respect to plan eligibility, pre-tax contributions, or benefits.

NDT is required for the following plans - Cafeteria Plans, Healthcare Flexible Spending Account (HFSA), Dependent Care Flexible Spending Account (DCFFSA), Health Reimbursement Arrangement (HRA) and a (Health Savings Account (HSA).

If you would like to complete the testing through HealthEquity, please contact the Client Service Team. After you make this request, we will send you an email and so will our Non-Discrimination Testing site with credentials to log in and start the testing.


Who Receives New Cards?

New cards are only sent to members who do not already have a card. Members who elect a new product, or are near expiry, may receive a new card.

To ensure that members receive their cards before the plan effective date please enter enrollments at least 30 days before the effective date.
