Add Direct Bill participants

To add a new Direct Bill participant, log into the client website.

  • Select the Direct Bill menu option at the top of the screen.

  • Select the Add option.

  • Enter the new employee’s Social Security Number and the system will search for an existing Social Security Number.

  • Add all personal and demographic information.

  • Enter the direct bill type from the drop-down menu, the start date and end date.

  • If your company is paying a portion of the premium, select a severance package from the drop-down menu.

  • Add any covered dependents that are not listed and check the MED/DEN box for the individual to be listed as a covered dependent.

  • When finished adding information on the screen, click Next.

  • Select the plan(s) in which the participant was enrolled at the time HealthEquity | Wage Works is to commence collection of premiums, and the applicable coverage tier.

  • Review the Coverage Begin Date for accuracy or update as applicable.

  • When finished adding/updating all information on this screen, click Next.

  • Review and confirm all the information including start dates, direct bill type and affected plan(s).

  • When finished reviewing/updating, click Finished to see your confirmation.

  • Once the information is processed, a window will appear showing that the participant information is in the system.

Direct Bill payments

You can go to the Participant tab, search for a participant, and look up the specific member. Once you’ve located them, click View and scroll down to the Billing Information section. It will show all payments that have been received from that participant.

Processing refunds

With Direct Bill, HealthEquity | Wage Works* will reach out to you to see if the refund has been verified and use the “Client Trust” funds to issue the refund directly to the participant. If the funds are not available, then you have the option to issue the refund to HealthEquity | WageWorks and we will send it to the participant, or you can issue the refund directly to the participant yourself.

Cancel a Direct Bill account

You will need to open a case requesting the cancellation date for the account holder. You are unable to cancel an account on your own and must submit the request online.
